Cancellation & Refund Policies

Special Activities

1. Refunds for events paid through Wild Apricot will not be possible - if someone from the waitlist is able and willing to take the spot, the activity lead will put the two members in contact to work out payment. The cancelling member MUST contact the activity lead directly to coordinate this payment exchange.


2. Refunds for payments made directly to the activity lead for an event are at the discretion of the activity lead. The lead may offer to refund payment if possible; may offer to workout payment with someone from the wait list (if applicable); or may have a “no refunds” policy. The relevant policy should be communicated by the lead in advance, in the event listing. The cancelling member MUST contact the activity lead directly to coordinate any refunds (if applicable).

3. In the event of a no show/cancellation less than 24 hours prior to the event, ASFSC reserves the right to charge the member's account for the cost of the event, to include materials/ingredients purchased (provided the materials/ingredients fee was described in the event listing and payment was expected at/before the event start time). In such a case, the member may not be able to participate in any special activities event until the 

account charge is paid.

4. In the event a member has multiple no shows/last minute cancellations (to encompass all special activities events), ASFSC and the Special Activities Chair reserve the right to deny/cancel the member’s registration for any special activities that are scheduled within the following 60 day timeframe. We are reasonable and understand that last minute things come up and emergencies happen; please call or text as soon as you know that you won’t be attending so we can invite the next person on the wait list.

Programs

1. A reservation paid is a reservation made.  If payment is not received on Wild Apricot within 15 minutes of registering for the event, the registration will automatically be canceled.

2. Once registration is complete, cancellations will not be refunded.

3. We understand that life happens! If you cannot attend, please email the Programs Chair or committee as soon as possible. We will accept a substitute if you find another club member to take the spot. Otherwise, empty seats will be filled by the chair in the order of the waitlist maintained by Wild Apricot (website).

4. In order to attend and participate in ANY aspect of a program event, members MUST register in advance through the event invitation on Wild Apricot (website). If registration has closed, please email the Programs Chair to see if there is availability. We cannot accommodate walk-in attendees at program events because we cannot guarantee a seat or space availability - it is assumed that all those registered will attend the program event. 

Please note -no guests are allowed and only "babies in arms" are permitted at events, unless otherwise stated in event announcements.
